Senior Property Manager
The primary purpose of this role is to act as team leader for the management of a designated property portfolio. The Senior Property Manager must possess comprehensive knowledge of the operation and management of a variety of property types and complete client service requests with excellence and exceptional customer service.
Job Description & Duties:
- Act as team leader for designated properties and take responsibility for full oversight of the client’s property
- Conduct property inspections to determine upkeep, document condition and ascertain maintenance needs in accordance with contractual client agreements and agreed schedule
- Engage, supervise and liaise with contractors and all persons necessary in the management of the property
- Conduct bidding, contract review and contract management for property portfolio
- Schedule necessary safety inspections and secure all licenses and permits required to meet statutory/code requirements
- Diarize and monitor key dates and all other relevant information relating to the properties, leases, insurance policies etc. and take appropriate action
- List, show, market, negotiate and prepare leases for rental property listings and ensure that all duties relating to the contract process are fulfilled (subject to a valid Bermuda Real Estate license)
- Collect rents, security deposits, other tenant charges and maintenance fees (in coordination with the Company’s accounting team)
- Provide property and concierge services for the Company’s clients in accordance with contractual client agreements
- Make every effort to ensure that the client’s obligations to the landlord(s), tenant(s) or sub-tenant(s) are met to an appropriate standard and deal with complaints in a timely fashion
- Oversee the completion of basic financial responsibilities including invoice authorization, present financial statements to clients and address delinquent accounts (up to ordinary summons)
- Interpret and present property related financial statements and reports
- Prepare budgets and forward planning schedules in accordance with contractual client agreements
- Arrange for insurance cover and advise insurers and clients in writing at the earliest opportunity of any incident that may give rise to a claim, in accordance with contractual client agreements
- Regularly maintain the property management reporting database
- Supervise preparation of rental or holiday units for new tenant occupancy
- Prepare inventories of property contents
- Prepare condition reports of properties at the commencement, termination and during tenancy in accordance with contractual client agreements
- Execute a program of minor property improvements in accordance with contractual client agreements
- Advise clients on maintenance/repair items that are not routine or matters that are of a sensitive nature
- Use all reasonable endeavors to ensure that shareholders, tenants and sub-tenants comply with the provisions of the lease or head lease and prepare notices, where necessary, to address non-compliance
- Respond to queries / client calls, acknowledge receipt within one business day and take all reasonable measures to resolve matters quickly
- Inform Company of complaints where clients, landlords, tenants or sub-tenants are unhappy with the service provided
- Provide on-call emergency service for clients’ properties according to a pre-agreed schedule
- Complete office administration in a timely manner in accordance with policies and procedures; maintain a current and accurate electronic filing system
- Provide guidance to less senior team members
- Work in the best interest of the Company and its clients at all times
Qualifications, Skills and Experience:
- Bachelor’s degree or Property/Facilities management designation required
- Minimum five years’ experience in a similar role
- Real-estate license preferred
- Comprehensive knowledge of local real estate laws, condominium governing documents and lease termsÂ
- Attention to detail and strict quality control guidelines
- Able to prioritize, schedule and multi-task
- Maintain a calm demeanor while working with a sense of urgency
- Excellent interpersonal and client service
- Ability to provide clear direction and candid feedback in a supervisory role
- Strong written and verbal communication skills
- Ability to work in office or remotely
- Strong computer skills and proficient with Microsoft Office Suite
- Interest in a long-term partnership
- Must have own cell phone and transportation to travel to various client sites
Inspector
The primary purpose of this role is to provide regular condition, health and safety inspections to the company’s property portfolio. The Inspector must ensure that our properties not only meet but exceed all regulatory health & safety standards as well as maintain an overall appealing visual condition upholding our reputation for quality. This role requires precision, attention to detail and a strong understanding of local construction, building codes and safety regulations.
Job Description & Duties:
- Conduct weekly external site inspections of buildings, systems and grounds to determine upkeep, meet local health and safety laws and ensure compliance with governing documents
- Conduct internal property inspections at the commencement, termination and during tenancy in accordance with contractual client agreements
- Arrange for periodic maintenance and health and safety inspections by third party service providers or regulatory entities where required, including elevators, fire extinguishers, fire safety systems, water filtration systems, etc. and secure all licenses and permits required to meet statutory/code requirements
- Prepare fire safety plans, when required
- Engage, supervise and liaise with contractors and all persons necessary in the management of the property
- Collaborate with other team members to incorporate findings into overall maintenance or safety development plans
- Diarize and monitor key dates and all other relevant information relating to the properties
- Make every effort to ensure that the client’s obligations to the landlord(s), tenant(s) or sub-tenant(s) are met to an appropriate standard and deal with complaints in a timely fashion
- Maintain accurate records of inspections and corrective actions
- Regularly update the property management reporting database
- Execute a program of minor property improvements in accordance with contractual client agreements
- Respond to queries/client calls, acknowledge receipt within one business day and take all reasonable measures to resolve matters quickly

Qualifications, Skills and Experience:
- Bachelor’s degree in Environmental Health, Safety, Property/Facilities Management, Construction or a related field
- In depth knowledge of local safety legislation, construction, practices and procedures
- Minimum three years’ experience in a similar role
- Real-estate license beneficial
- Attention to detail and strict quality control guidelines
- Able to prioritize, schedule and multi-task
- Able to navigate multiple sites daily in various weather conditions
- Maintain a calm demeanor while working with a sense of urgency
- Excellent interpersonal and client service
- Strong written and verbal communication skills
- Ability to work in office or remotely
- Strong computer skills and proficient with Microsoft Office Suite
- Interest in a long-term partnership
- Must have own cell phone and transportation to travel to various client sites
